VUPS is always looking for keen, energetic and enthusiastic people who care about the ultimate community in and around the Victoria area and are looking for ways to help.

If you are interested in any of the major volunteer positions we have available, or you're looking to help out on a smaller scale, even on a one-time basis, we'd love to hear from you.

We are currently seeking people to fill any and all of the positions that are not on the excecutive board, except for the web team. We are especially keen to find a volunteer for the vacant Summer League Coordinator position available now!

VUPS Major Volunteer Positions


Executive Board Positions

President
  • Oversees all of the operations of VUPS including the various duties of the Board of Directors and the Membership. The President must seek to fill all Board positions and find new replacements as may be necessary.
  • Should set a schedule of regular meetings between the Board. The President will chair all meetings of VUPS and must ensure that the Secretary or a replacement is present to record the minutes.
  • Is the point of contact between other “Ultimate” societies including but not limited to BCDSS, Ultimate Canada.
  • Must ensure that annual filing is done with the Province of BC to maintain our status as a registered Society.
  • Must work with the Treasurer to ensure funds are properly managed and accounted for and that major purchases of any questionable nature are approved by the Board.

 
Vice-President
  • Assist the President in overseeing all of the operations of VUPS including the various duties of the Board of Directors and the Membership.
  • The Vice President will serve to chair any VUPS meeting where the President is unable to do so.

 
Treasurer
  • Works with the VUPS board to keep all accounting and books up to date/done (including audit)
  • Updates budget to the Board at end of summer and year

 
Secretary
  • Records and disseminates the minutes of the Board meetings to VUPS members
  • Responsible for maintaining the membership list
  • Retains possession of the Seal.

 
Directors at Large (three positions)
  • Assist the executive in fulfilling its mandate

 

General Board (Managers, Coordinators)

 
Public Relations
  • Brainstorming and researching different methods that could be used to spread word about VUPS and its different tournaments, events, etc.
  • Creation and distribution of press releases, and general liaising with media
  • Being the face of VUPS - responding to any information, interview, media requests
  • Inquiring into and securing advertising opportunities for VUPS, (more specifically summer league) so that we might grow our membership
  • Put together media kits, including information about VUPS, yearly activities, vision for the future, etc

 
Fields Manager(s)
  • Major directive to get more and better fields for VUPS Leagues, tournaments and events
  • Works with League and Tournament directors to arrange fields
  • Identify and seek grants towards new or improving fields
  • Identify and seek partnerships or other options with other sports and their fields
  • Document all contacts and activities

 
Website Team
  • The website should be our primary tool for marketing, communicating, coordinating, and managing Ultimate leagues and tournaments
  • Manages VUPSmail and Forum's
  • Actively and aggressively updates and improves the site
  • Works with League and Tournament Directors, to facilitate their website needs
  • Document all contacts and activities

 
Merchandise Manager
  • Design, order and sell VUPS apparel, discs, etc.
  • Works with League and Tournament Directors to facilitate their merchandise needs
  • Document all contacts and activities

 
Sponsorships Manager
  • Determining a sponsorship structure, including various levels and corresponding benefits.      Ensuring that sponsors are appropriately acknowledged and thanked for their contributions
  • Obtain donations and sponsorships for VUPS and it's specific leagues and tournaments
  • Maintain a database of all company contacts, their disposition and past sponsorships
  • Identifying and approaching potential VUPS sponsors, through various methods
  • Maintaining an active relationship with potential sponsors throughout the year and keeping them up-to-date on VUPS activities
  • Administering VUPS’ participation in the Thrifty Foods Community programs and any other appropriate programs

 
Volunteer Coordinator
  • Actively recruits new volunteers and identifies their interests and skills
  • Creates and maintains a volunteer database
  • Works with League and Tournament directors to provide them with the volunteers they require
  • Organizes VUPS volunteer parties and events.
  • Document all activities

 
Youth Outreach Coordinator
  • Creates strategies to grow and improve the involvement and awareness of local Youth in playing Ultimate (e.g. clinics, leagues, tournament team(s)).
  • Manages all volunteers involved in Ultimate youth programs.
  • Document all contacts and activities

 
League and Tournament Coordinator(s)/Director(s)
  1. Split Disc Tournament (mid-July)
  2. Pumpkin Pull (October - Hallowe’en weekend)
  3. Kit Klassic (late December)
  4. Indoor (Winter/Spring) League
  5. Summer League
  • Responsible for ensuring that facilities are available to VUPS for the league or tournament and for planning all aspects of the league/tournament (e.g. scheduling, operations, sign-up times and other procedures) from start to finish
  • Co-ordinate with the Communications/Web Team and Public Relations Coordinator to maximize attendance co-ordinate with the Treasurer regarding budget and other financial matters
  • Responsible for the (day-to-day) administrative matters such as setting up playing fields and updating standards and schedules
  • Work with captains and volunteers ensure that leagues and tournaments operate with minimal difficulty

 
Summer League Coordinator
  • # of positions: 1
  • Role: Join a small squad of volunteers to help run the Victoria Frisbee Summer League! VUPS runs 2 leagues on Tuesday and Wednesday nights and usually has over 300 players in the league! Previous years have gone smoothly and we expect this year will be much of the same. We only need a few hours a week from volunteers that can be done from home, or the fields, or anywhere!
  • Responsibilities:
  • Helping with the league set-up in April
  • Responding to player questions via email (during the summer)
  • Resolving any on-field disputes (during the summer)
  • Compensation:
  • Small honorarium for services rendered during the summer
  • Free sign-up for summer leagues
  • Since we are a non-profit organization, you are mostly compensated with just knowing that you've made many Victoria ultimate players happy!
